How Do I Send an Email to Contacts?

You must have access to the partner portal and the Partner Tools Portal. Please contact the partner team to request access. Emails are a simple and effective way to communicate directly with your contacts. This guide will walk you through composing and sending a one-off email using the Partner Tool.
Step 1: View Assets

Step 2: Choose an Email Template
You can select an existing Email Template to edit. Use the "Search" field to find the asset and select the "Send" icon.

Step 3: Edit Your Email
Use the Email Editor to make necessary changes to your email before sending it. This editor is ideal for quick edits and does not alter the original template. Click the conduit "Hamburger" icon to minimize the conduit menu and the "Maximize" icon in the Email Editor to give yourself room to work. The "Hamburger" icon in conduit will expand or retract the left-hand menu, and the "Maximize" icon on the "Send Email" page will maximize the editor.

If available, Smart Objects will let you drag and drop different building blocks into the email you are composing. Not all templates provide access to the Smart Objects
Drag an object where you'd like to place it.
- A yellow highlight will color the placement block.
- Click the ^ < v > arrows to place the Smart Object below, above, left or right of the yellow highlighted block.
- Click the "Recycle Icon" in the center to replace the highlighted block.

These sections are populated from the various profiles the information is drawn from a personal company or organizational level depending on what you have recorded in the related Profile. ![]()

Clicking on the email body brings up an expanded toolbar or advanced editing by clicking on a placed text block, then clicking on the "{}" icon on the toolbar.

- User - pulls from that User's profile.
- Company - pulls from the overall company profile.
- Contact - pulls from the contact on the receiving end.

Edit a call-to-action button
In the email template's body, double-click the button to open the "Call to Action Properties."

Scroll down to the" Button Links and Label" section to update the mailto property. Ensure that the "Email Address" tab is selected. Click the edit Icon to update the mailto properties to include your email address It should look like this: mailto:mailto:youremail@yourdomain.com

Step 4: Finalize and Send Your Email
If you have maximized your screen, click the Maximize icon again to view the send email properties.

Under Send Email, complete the following fields:

From: Specify who the email should appear to be sent from.
- From and Reply-To can be different users.

To: Choose your recipients by typing in the users' names and email addresses or selecting from your list.
- You can combine individual email addresses with lists for broader outreach.
- Reply To: Indicate who should receive replies to the email
- Subject: Enter the subject line for your email
It is a good idea to send yourself a test email to review the results before selecting an entire list to send to.
Choose when to send your email:
- Now: Send the email immediately upon completion
- Schedule for Later: Set a future date and time to send the email

Draft: Save the email to finish editing later
- You can access drafts by navigating to the same area under Communicate and selecting the Draft tab in the top right-hand corner.
- Schedule Resend: If needed, you can arrange to resend the email using this option
Click Finish to complete the process, whether sending the email now, scheduling it, or saving it as a draft.
