The Snom M900 is not certified on the UnitedCloud Hosted PBX platform. Support for manual provisioning is available, but may incur additional service fees. We recommend contacting support before beginning.

M900 DECT Multi-Cell Base Station

The easy-to-use base station has a completely new design and versatile functions. In addition to an integrated DECT manager, the M900 also offers DECT and LAN synchronization. The integrated DECT manager manages all base stations within a single installation, ensuring continuous availability and seamless handovers. This means that calls are seamlessly transferred between the individual base stations—even across floors or buildings.

Security is a top priority in daily business communication. The M900 base station's integrated TLS encryption sets absolute encryption standards.

The M900 DECT base station provides a solid foundation for installations of any size. From a small office with only one base station to, for example, a hospital with several thousand devices, the integrated DECT manager, which houses state-of-the-art technology, can enable installations comprising up to 1,000 base stations and up to 4,000 handsets. Thanks to the M900 base station, device maintenance can also be carried out easily and efficiently. Each base station can wirelessly push software updates to connected handsets, greatly reducing the IT department's workload.

What Is the Snom M900?

Think of the M900 as a wireless phone system hub for larger spaces. Instead of running a phone cable to every desk, the M900 broadcasts a DECT wireless signal that cordless handsets connect to, similar to how a Wi-Fi router serves wireless laptops, but purpose-built for voice calls.

It's designed for environments where mobility matters: warehouses, hospitals, hotels, multi-floor offices, or any location where staff move around and need to stay reachable.

Understanding the LED Indicator

The LED on the front of the M900 tells you its current state at a glance:

Solid green Operational and connected to the network
Blinking orange Booting up
Blinking red Network or registration failure
Off No power
Rapidly flashing green Firmware update in progress

Before You Begin

Gather the following before starting manual provisioning:

  • The IP address of the M900 base station (see tip below)
  • Your SIP credentials from the Hosted PBX portal: SIP username (extension@domain.comm), SIP authentication password, and SIP domain/proxy address
  • The outbound proxy address and SIP port (typically 5060 UDP)
  • The MAC address of the M900 (on the label on the device)
  • Confirmed network access: the M900 must be able to reach your SIP proxy

Finding the IP address: If you have any Snom M-series handset nearby (M25, M65, M70, M80, M85, or M90), you can use it to find the base station's IP without logging into your router. Connect the base station, wait for the LED to turn solid green, then on the handset, press the menu key and type *47*. The IP Search screen will appear, showing the base station's IP address.

 

Manual Provisioning Steps

Step 1: Access the M900 Web Interface

  1. Open a web browser and enter the M900's IP address preceded by http:// (for example: http://192.168.10.115).
  2. A login prompt will appear. Enter the credentials:
    • Username: admin
    • Password: admin (These are the factory defaults. If the password has been changed, contact your IT administrator.)

  1. Click OK. The Home/Status page will open, showing current system information.

Important: Before leaving any page in the web interface, click Save to keep your changes.

Step 2: Set Country and Time

  1. Click Country/Time Settings in the left menu.
  2. Select your country from the Select Country drop-down. For Canada, select the appropriate region.
  3. Confirm that the language is set to English (or your preferred language).
  4. Click Save.

Step 3: Configure the SIP Server

  1. Click Servers in the left menu.
  2. In the Registrar field, enter your Hosted PBX SIP domain (provided in your portal).
  3. In the Outbound Proxy field, enter the SIP proxy address and port in the format address:port (for example, sip.yourhostedpbx.com:5060).
  4. Leave SIP Transport set to UDP unless TLS is required.
  5. Leave DTMF Signalling set to RFC 2833 (this is the Hosted PBX default).
  6. Click Save.

Step 4: Add an Extension

Each handset requires an extension to be configured before it can be registered. 

  1. Click Extensions in the left menu.
  2. Click Add Extension.
  3. Complete the following mandatory fields:
    • Handset: Select "New Handset" (or an existing handset index if re-assigning)
    • Extension: Enter the SIP username or extension number from your Hosted PBX portal
    • Authentication User Name: Enter the username used in the portal 201@domain.com 
    • Authentication Password: Enter the password used to access the portal.
    • Display Name: The name to show on the handset display (optional but recommended)
    • Server: Select the server you configured in Step 3
  4. Click Save.

Repeat for each handset you are adding.

Step 5: Register Handsets

There are two methods. Method 2 is recommended when you have the handsets physically on hand.

Method 1 using the IPEI (International Portable Equipment Identifier**):

  1. On the Extensions page, click the string of capital Fs under the IPEI column header for the extension you created.
  2. Enter the handset's IPEI (a 10-character string found in the handset's Settings > Status menu).
  3. Click Save.
  4. Check the box next to the handset's IDX and click Register Handset(s).
  5. Check the box next to VoIP IDX, then click Start SIP Registration(s).

Method 2 (using the access code, handset in hand):

  1. On the Extensions page, check the box next to the extension's IDX and click Register Handset(s).
  2. On the handset, go to Connectivity > Register.
  3. Select an empty registration slot.
  4. Enter the access code. The default access code is 0000.
  5. Back in the web interface, check the box next to VoIP IDX, then click Start SIP Registration(s).
  6. The handset's IPEI will appear in the table confirming registration.

Step 6: Verify Registration on the Hosted PBX Portal

  1. Log in to the portal
  2. Navigate to Inventory > Phone Hardware, and confirm that the device has registered. You are looking for the green check.
  3. Place a test call to verify audio quality in both directions.

Codec and Network Recommendations

The M900 supports G.722 (HD voice), G.711 A-law (PCMA), G.711 µ-law (PCMU), and G.726. For Hosted PBX compatibility, a recommended priority order is:

  1. G.711µ-law (PCMU) or G.711 A-law (PCMA)
  2. G.722 (if HD voice is desired)
  3. G.726 as a fallback

Important capacity note: If G.722 is set as the first codec priority, the maximum simultaneous calls per base station is reduced from 10 to 4. For high-traffic deployments, prioritize G.711. 

Ensure QoS is enabled on your network switch or router to prioritize voice traffic over general data traffic.

Factory Reset

If you need to return the M900 to factory defaults, press the reset key on the bottom of the unit with a paper clip or similar object for at least 10 seconds.

Troubleshooting

The IPEI is referenced in two places:

  • Page 24 - under "Registering handsets - method 1," which includes the note: "To find the IPEI, open the Settings menu of the handset, select Status, and scroll down to the IPEI at the end of the handset status. The IPEI consists of a string of 10 decimals and capital letters. Do not enter the colons, grouping the characters of the string into twos."
  • Page 47 - under "Description of Settings > Extensions > Handset Settings," which defines IPEI in the settings table as: "International Portable Equipment Identifier for DECT handsets, which is unique worldwide. It consists of the equipment manufacturer code (EMC) and a portable serial number (PSN) issued by the manufacturer."

  • Page 23 - under "Extension Settings," the setting subscr_dect_ipui is described as specifying the IPEI number of the handset, with an example value of 018870DF25.
